General Accountabilities
- Provide clerical /administrative support to the group
- Support staff/management with moving office locations by organizing staff, calling/scheduling
- vendors, assisting in communications to staff
- Support onboarding/offboarding of Kinectrics staff into both Kinectrics and OPG
- Supporting resource management activities for Kinectrics staff working on OPG Facilities such as
- Processing OPG ONCORE setup for new staff
- Assist with resolution of OPG ONCORE issues
- Maintaining tracking expiring Kinectrics staff qualifications in OPG TIMS
- Processing training requests in OPG TIMS
- Processing OPG IT and asset requests for staff
- Supporting OPG site orientation for new staff
- Maintaining training records (linking and delinking training)
- Building access requests
- Provide facility Management support for 910 Brock Road Office
- Fire Warden
- Area Safety Manager
- Accounting Board
- Order Supplies, review/payment of invoices, etc.
- Resolve facility maintenance issues
- Support document processing through OPG VenDM
- Support resolution of Kinectrics IT issues that may arise for Kinectrics staff working remotely
- Use of electronic calendar, mail processing, travel, conference and meeting arrangements, minute taking, use of time management principles, preparation of presentation material, information, management, maintenance of a follow up system and handling of information and documents which may include commercially sensitive data.
- Use various software applications for the purpose of preparation of spreadsheets, graphs,
- charts, presentations, proposals, quotations, processing correspondence and other written
- material and for composing and/or processing of correspondence which may be commercially
- sensitive or confidential in nature
- Support the proposal development process for the group, including compiling key information, maintaining the information available in an easily accessible location and keeping the information current.
- Support the update and maintenance of opportunities in Salesforce
- Conduct weekly review of OPG SCR database and distribute/track Kinectrics related SCRs within Kinectrics for follow-up and resolution
- Conduct weekly tracking/follow-up of Intelex to ensure there are no overdue NCRs
- Prepare presentation materials
- Provide support for project administration and documentation.
- Provide office support to order supplies and ensure supplies are well-stocked, maintenance of
- printer areas; interacting with building management, contributing to office organization,
- preparing for staff meetings, ordering coffee/lunch as required, organization
- of common areas, including reception/kitchen/library,
- Provide backup to other Administrative and Project Assistants. Flexibility is required
- Perform other duties as required
- Note this role will require frequent travel to various OPG facilities in Durham region and occasional travel within the GTA.
Selection Criteria
- Requires strong computer skills in software packages such as Microsoft Word, Excel, Visio,Power Point, etc.
- Preference given for candidates with experience working with OPG Systems (TIMS, Asset Suite, VenDM, OPG SCR) and familiarity with OPG procedures and governance
- Requires a comprehensive knowledge of secretarial and office practices and procedures, administrative processes, and priority setting
- Ability to work in a confidential capacity and understand the sensitivity of a variety of business documentation
- Effective interpersonal/communication skills
- Requires proficiency in English grammar and sentence structure to prepare concise and effective correspondence, reports, etc.
- Requires proficiency in keyboard operations, storage and retrieval systems
- Demonstrated ability to conduct tactful and direct communications with internal and external contacts.
- Flexible to adjust and cope with changing requirements
- Sensitivity to individual’s needs/client service oriented
- Ability to work independently and in a team environment
- Ability to anticipate supervisor’s needs with minimal direction
- Attention to detail/accuracy/thoroughness

- 3 years related experience or equivalent advanced education
- Completion of high school plus additional specialized courses in business administration, human resources or a related field
