Position Profile:

Kinectrics is looking for an Executive Assistant to provide high-level administrative support to the Senior VP and Executive Team. We are looking for someone that is motivated, resourceful, and flexible to join our team. The successful candidate will be someone who thrives in fast-paced environments and who is comfortable rolling up their sleeves to take on whatever needs to be done.

 

 

Accountabilities: How You Will Make an Impact

 

  • Providing direct support to designated Senior VP and help maintain portfolio of the SVP’s designated company assets
  • Complex calendar management with ability to manage scheduling conflicts
  • Act as a gatekeeper to Senior VP
  • Prepare, compose, and initiate correspondence, presentation material, reports and other documents for the Senior VP
  • Preparation and processing of confidential material related to overall business plans, financial statements, labour relations, organization changes, staffing, & executive appointments,
  • Attends various meetings to take minutes, record notes/action items, other briefing materials and distributes/follows-up accordingly.
  • Arrange domestic and international travel, hotel, car etc. and prepare itinerary
  • Compile expense reports in accordance to company policies and procedures
  • Organize logistics of in-house and off-site meetings including facilities, catering orders etc.
  • Supports the preparation of a variety of standard and/or special reports on weekly/monthly/as required basis
  • Perform other duties as required

 

What You Need to Succeed

 

  • 5-10 years of Executive Assistant/Administrative experience supporting an executive team in a fast-paced, high growth environment.
  • Completion of a diploma/degree in business administration or equivalent.
  • Highly organized with ability to prioritize and to manage multiple tasks and changing priorities with a sense of urgency and calm.
  • Ability to work independently, anticipate needs, quickly process information and act accordingly
  • High degree of interpersonal skills to maintain excellent relations with internal and external stakeholders
  • High level of attention to detail and accuracy.
  • Ability to maintain privacy and confidential information and handle issues of a sensitive nature with tact and discretion.
  • Excellent verbal and written communication skills.
  • A willingness to work hard and to meet demanding time schedules.
  • Strong computer skills – MS Word, Outlook, PowerPoint & Excel (macros), SAP and Salesforce experience is an asset.
