Accountabilities: How You Will Make an Impact

 

We are seeking a Marketing Events Planner to help coordinate, plan, and assist with the execution of roughly 70 tradeshows and events annually to elevate our brand presence. Reporting to the Senior Director - Strategic Marketing & Sales, this role is responsible for managing all aspects of Kinectrics’ annual tradeshows- from logistics and vendor coordination to on-site execution- ensuring a seamless and engaging brand presence that drives and strengthens customer relationships. 

 

Key Responsibilities and Duties:

 

  • Act as the overall point of contact companywide to plan the annual execution of approximately 60-70 external tradeshows/conferences where Kinectrics is an exhibitor and/or sponsor.
  • Coordinate end-to-end tradeshow logistics, including pre- and post-show meetings, scheduling, packing of booth, shipping, tracking of booth materials and marketing assets.
  • Manage event schedules, registration deadlines, and required documentation.
  • Provide recommendations to the Senior Director, Strategic Marketing & Sales for the annual tradeshow budget across all Kinectrics companies.
  • Build detailed project plans and timelines for each event, managing logistics, vendors, deliverables, and costs against the budget from kickoff through post-event wrap.
  • Assist with the execution of in-house tours and high-profile events and guests 
  • Own the annual tradeshow calendar, including dates, times, participants, materials, and swag.
  • Order and manage company clothing and marketing inventory while remaining within budget.
  • Create Salesforce (CRM) campaigns for each tradeshow where Kinectrics is an exhibitor.
  • Coordinate with vendors and finance teams to process invoices, track expenses, and ensure timely payment for services and materials.
  • For various Marketing & Sales related projects, work with outside vendors to retrieve quotes and issue purchase orders.
  • Generate POs for the marketing team, organize yearly costs to help forecast budget required, year over year, for trade shows, memberships, sponsorships, swag, donations, etc.
  • Plan, review and respond to incoming sponsorship and donation requests, evaluating each against approved budgets, priorities, and objectives
  • Manage backend financial steps, including arranging payments, tracking deliverables, and maintaining accurate records of sponsorships, donations, and memberships
  • Drive on-going improvements in efficiency and innovation of event execution, set-up and performance measurement.
  • Please note that this position requires occasional evening and weekend overtime work.
  • Some domestic and international travel may be required. 
  • Other duties as assigned.

 

What You Need to Succeed

 

Education, Experience, Skills:

 

  • Education required: College or University degree in related field is preferred or equivalent training and experience.
  • Experience Required: Minimum 3 years of experience in a fast-paced environment with directly related experience managing the planning and execution of events, tradeshows, conferences or projects.

 

Additional competencies, knowledge, skills, and abilities required:

 

  • General knowledge of project management principles is preferred to manage several projects at once; including work-back schedules, project ownership and coordination, task assignment, and communications.
  • Comfortable gathering and working with large data sets, manipulating, analyzing and drawing conclusions/recommendations based on data.
  • Experience in Microsoft Office suite, particularly in Excel, PowerPoint, Office and SharePoint; strong proficiency in Microsoft Excel considered an asset.
  • Experience coordinating with vendors, sourcing, purchasing and following an annual budget is considered an asset.
  • Exceptional time-management and organizational skills with ability to prioritize a large volume of tasks and achieve desired results with attention to detail.
  • Excellent written and verbal communication skills, including the ability to communicate inter-departmentally.
  • Demonstrated experience with data gathering, consolidating and analysis to measure tradeshow performance and helping to create reports for senior management is considered an asset.

 

This role requires the successful candidate to complete the security clearance process. The security clearance process is conducted in accordance with applicable regulatory requirements of the Canadian Security Intelligence Service (CSIS) and the Canadian Nuclear Safety Commission (CNSC) and may take up to 12 months to complete.
