Accountabilities: How You Will Make an Impact

 

  • Support NSL Project Managers with project administration including SAP project building and cost reporting.
  • Provide administrative support to the group including but not limited to:

 

Bidding

 

  • Assist in preparation and delivery of Kinectrics proposals.
  • Ensure TOQs, Proposal and Tenders are of the appropriate quality (meets customer needs and specified requirements).
  • Build projects in SAP with costing/revenue information and provide z-approve for OAR approvals, including international projects.
  • File proposal information as required, including updating Salesforce.

 

Project Execution/Monitoring

 

  • Support NSL Project Managers to review/update projects in SAP, including support with the parking module.
  • Respond to NSL PM/Section Manager requests for costing/schedule or other information, as requested.
  • Update SAP as requested by PMs, including time amendments, quotations, re-planning projects.
  • Prepare, monitor, track and close purchase orders and subcontracts with suppliers (PReq).
  • Update expense reports, as requested by department staff.
  • Support schedule updates, as requested by PMs.
  • Maintain project closure process by TECO’ing projects as needed.
  • Assist project managers, as needed, in preparation of quotations in Toolbox/SAP, providing guidance on project management using SAP, and providing information on Kinectrics business processes.

 

General Work Duties

 

  • Support NSL Directors/VP with work program development, work program maintenance, and project budget tracking and cost control.
  • Support BA with month-end activities and other requests.
  • Understand and support management with project risks.
  • Report on progress of TOQs/ Proposals to Section Managers/Directors, as requested.
  • Verify and file documents, as requested by PMs.
  • Provide support to marketing initiatives as needed.
  • Retain historical information for cost and schedule impact analysis for future work.
  • Provide other support to the department, as requested, including office management support, organizing meetings, entering expenses etc.

 

What You Need to Succeed

 

  • Completion of secondary school plus additional specialized courses related to business administration or 4 years university degree.
  • Extensive SAP knowledge and experience.
  • Strong computer skills in software packages such as Microsoft Word, Excel (including creation and use of macros, pivot tables), Project, Power Point, SAP, Toolbox, Primavera P6 etc.
  • Requires proficiency in business grammar and sentence structure to prepare concise and effective correspondence, reports, etc.
  • Some experience in cost and scheduling analysis, planning, including estimating.
  • Strong communication skills with internal/external staff.
  • Possess a helpful attitude, willing to pitch in to complete a task/job.
  • Ability to work in a confidential capacity and understand the sensitivity of a variety of business documentation.
  • Can work independently and in a project team environment.
  • Able to prioritize a large number of tasks.
  • Demonstrated strong time management skills.
  • Attention to detail which will contribute to error-free, high quality reports, documents and communications.
