We are seeking a detail-oriented and proactive Project Assistant to provide administrative and technical support to our Project Management team. The successful candidate will help manage project schedules, budgets, and documentation, ensuring that projects are delivered on time and within scope. This role requires strong organizational skills, proficiency in project management tools, and the ability to work both independently and collaboratively.

 

Accountabilities: How You Will Make an Impact

 

  • Support Project Managers with project administration, including SAP project set up, cost review & reporting, and documentation.
  • Assist in the preparation and delivery of proposals.
  • Maintain and update project plans in SAP, including time amendments, quotations, and re-planning activities.
  • Prepare financial summary reports and track project costs.
  • Monitor and track purchase orders for subcontractor staff.
  • Provide schedule updates and progress reports as requested by Project Managers.
  • Assist Business Analysts with month-end activities and other requests.
  • Identify and monitor project risks, supporting risk management activities.
  • Maintain historical cost and schedule information for future project planning.
  • Provide general departmental support, including office coordination, meeting organization, and expense entry.
  • Record meeting minutes and distribute to stakeholders.
  • Coordinate with project managers to track progress on critical path items, cost loading, and Earned Value Analysis (EVA).
  • Support project scheduling activities, including managing logic ties, constraints, milestones, and codes.

 

What You Need to Succeed

 

  • Proven proficiency with Microsoft Office Suite, including Word, Excel (macros, pivot tables), and PowerPoint.
  • Experience with SAP (asset) and/or Primavera P6 or MS Project (asset).
  • Completion of secondary school plus additional specialized training in business administration, or a university degree in a related field.
  • 3 years related business administration experience or equivalent advanced education.
  • Experience managing design and building projects is an asset.
  • Knowledge of cost and scheduling analysis, estimating, and planning are assets.
  • Strong written and verbal communication skills.
  • Ability to prioritize and manage multiple tasks in a fast-paced environment.
  • Demonstrated attention to detail, ensuring accurate, high-quality reports and documentation.
  • Ability to work independently with minimal supervision.
  • Professional attitude and a willingness to assist with a variety of tasks as needed.
  • Ability to handle sensitive and confidential information with discretion
